  • How do I apply for a booth?
Depending on your organization, you will have to fill out the appropriate application form. If you are an artist, exhibitor, or game studio, you will use this form. If you are a nonprofit, convention, or fan group, you will use this form. If you would like to run a panel, workshop, game activity, or event, you can submit your proposal here. Not sure? Send us a line and we'll direct you to the right form!
  • Is there an application fee?
It is free to apply! We do, however, request that you submit only one application per business/organization. Submitted multiple applications does not increase your chance of being accepted. For panels, you are welcome to submit as many ideas as you like.
  • Can my exhibitor space be split between two vendors?
All vendors must go through the application process. Sharing of space is permitted but each vendor must apply separately and specify on their application the name of the other vendor they intend to share space with. No more than 2 vendors can share the same exhibitor space.
  • I haven't heard back about my application. Did I get in?
Depending on what you applied for, we will be reviewing all applications after the deadline has passed (and not a day sooner). Please allow 2-3 weeks after the deadline to review. If your application is accepted into the show, we will send you an email notification. Be sure to check your email regularly as well as your junk/spam folder. To ensure that you receive timely notifications, add Nerdfaire Con to your address book or email-safe sender list. If you applied past the deadline, all applications are moved to a waitlist. We review the waitlist periodically to evaluate the fit and needs of the show.
  • If I'm accepted, when is my payment for my space due?
Payment is due within 30 days of receipt of your invoice.
  • Do the spaces come with power and internet access?
No, those are supplied through the Lynnwood Convention Center. Information about cost and how to set up services will be provided in the acceptance packet. You will also receive loading in/out instructions in this packet.
  • How many exhibitor badges do I get?
Each space comes with two Exhibitor badges. Additional badges can be guaranteed by pre-purchasing during application. A limited amount will be available for purchase on-site on a first come, first serve basis.
  • I am hosting/contributing to a panel/workshop/event/performance, etc. Is a convention pass provided for me?
The person who filled out your application should provide an estimate on the number of passes they will require. If you have been accepted as a content contributor, you will be provided with a free pass. The type of pass will depend on what sort of content you are providing, so please contact us if you are uncertain what type of pass you will receive.
  • How do you determine content for the convention?
We are looking for content is first and foremost, geeky. Comics, video games, science, technology, fandom — we are open to many different kinds of content. Keep in mind that we are a family-friendly convention, so we do limit adult-only (ages 18+) programming.
  • When is the casting call for cosplay?
We do post our casting calls on our Facebook, Instagram, Twitter and website. We usually post for specific groups or characters (e.g. Spiderverse, Disney Princesses, Star Wars). We may stagger our casting calls at different times, depending on the needs and scheduling of the show. To stay in the know, recommend following our social media to get timely notifications. To apply for a casting call, follow the application instructions posted on our website. Unfortunately, we do not consider DM's over social media as applications.
  • Will people take my picture if I cosplay?
Almost certainly. It is very common for people to request photographs from people wearing costumes, particularly of popular characters. That said, if you aren't comfortable with people taking your picture, don't be afraid to say so. Nerdfaire Con also provides stickers of "Do Not Photograph" at the front desk for people who prefer not to be photographed. The vast majority of people are respectful of the cosplayer's wishes and will not photograph you without your consent. If someone does snap a photo without asking, you may politely ask them to delete it. If you encounter any problems with people taking unwanted photographs of you, feel free to contact any of the Nerdfaire volunteers and staff, and we will be happy to help you. If you are a cosplayer that is officially representing Nerdfaire Con (in storytime, meet-and-greets, and other official con activities), we have a photography requirement in our contract.
